Terms and Conditions

Copier Program machines are acquired from Konica Minolta-Albin on a cost per-copy-basis with minimum monthly volume commitments for a period of five years. Michigan State University does not own the machines and is not required to purchase or otherwise retain the machines after the five-year term is completed.

The contract established between Michigan State University and Konica Minolta-Albin is administered by Printing Services. A purchase order was issued by MSU Purchasing on behalf of Printing Services that covers any new placement. All new placements are added to the existing purchase order, so no new purchase orders are required to acquire a new machine. The following terms and conditions are applicable to every Konica Minolta machine placed in a department of Michigan State University through the Copier Program:

  1. Konica Minolta-Albin will assess the needs of each department interested in a Copier Program machine and will recommend a machine that best fits the determined need. It is the responsibility of the department to determine whether or not the recommended machine fits its needs.
  2. All machines placed through the Copier Program must remain in place for a term of five years from the date the contract begins. There are two exceptions to this requirement:
    1. The machine does not perform as specified. Konica Minolta-Albin will replace machines that experience performance problems that cannot be resolved within a reasonable period of time. In such cases, the existing machine will be replaced with a new machine of the same make and model (or new model if the existing model has been upgraded).
    2. A department’s volume increases or decreases and the current machine no longer meets the needs of the department. At the discretion of Konica Minolta-Albin, machines that no longer meet the needs of a department can be upgraded or downgraded with a different Copier Program machine that better fits the need. The new machine will be treated as a new placement and must remain in place for a term of five years.
  3. Prices will remain fixed at the specified rate per copy for a period of five years or until the total minimum volume requirement for the five-year term has been reached, whichever is sooner. At the end of five years or if the total minimum volume requirements is reached prior to the end of the five-year term, the rate per copy will be reduced by 20 percent.
  4. The minimum volume requirement is calculated based on the total printed pages from copies, prints, and faxes received. Any copies, prints, or incoming faxes printed on 11x17 will be counted as two pages. The minimum volume requirement for color machines is based on color pages only. Black-and-white pages printed on a color machine do not have a minimum and are not counted toward the minimum volume requirement.
  5. The cost per copy includes the machine and any selected accessories plus supplies, service, training, and support. Supplies included in the cost are limited to those necessary to make the machine functional (e.g. toner). Paper is not included in the supply cost.
  6. All applicable taxes and insurance for Copier Program machines are assumed by Konica Minolta-Albin. Machines that are damaged or destroyed by acts of nature will be replaced by Konica Minolta-Albin. Machines damaged through normal wear and tear or from misuse or abuse will be repaired at the expense of the department.
